4.3 - 2007 Reaffirmation Teams
The institution makes available to students and the public current academic calendars, grading policies, and refund policies.
The University of Texas at Dallas (UT Dallas) provides the entire campus community and the public current academic calendars, grading policies, and refund policies primarily via the UT Dallas website. Specific updates or reminders may be sent via e-mail to students, faculty, and/or staff as needed.
The university registrar posts the academic calendar on the UT Dallas website, and updates to the calendar are made as necessary based upon changes due to legislative action or administrative decisions. The fall 2007 calendar  was posted early enough to show three consecutive terms for public review and includes the tuition and fee payment and refund schedule. The spring 2008 calendar recently changed; the updated calendar was made available to the public in the online Comet Calendar as soon as the discussions were finalized at the administrative level . A report to the Academic Senate included background documentation  and a copy of the calendar for the coming three years , as well as some discussion about the revised calendar’s ability to meet better the required criteria as detailed in Chapter 4, Subchapter A, Section 4.5 of the Rules of The Texas Higher Education Coordinating Board (THECB) . This latest calendar revision was initiated by a student’s e-mail to President Daniel . This revision provides a more standardized spring break, an extended period for faculty grading of final examinations, and the requested reading days between the last day of class and the start of the exam period.
Other calendar-related information may be e-mailed to targeted parties by the registrar, as in the case of a deadline to apply for graduation . Additionally, the student newspaper occasionally covers such changes; an article on the recent calendar change appeared in the May 29, 2007 edition of The UTD Mercury
The student newspaper is also a source of information about changes in grading policies; recent discussions about changing graduate course grades to include both plus and minus grades were highlighted in the May 29, 2007 edition of The UTD Mercury
The UT Dallas website provides students and prospective students with a method to determine which classes are best suited to their daily schedule; the Course Lookup function  allows students to select different criteria to find a course of interest. Once the criteria are entered, the resulting page  provides information about the section(s) meeting the criteria as well as links to the page where students may register and to another UT Dallas webpage that allows the public to review course evaluation data   .
Refund policies , as well as tuition and fee tables  and payment options information , are posted online for public review. The refund policy at UT Dallas is posted in an updated calendar format each term  and includes a pro-rated refund for students who officially withdraw from the university during a scheduled period, in accordance with Section 54.006 of the Texas Education Code . Specific information regarding refund policies related to financial aid recipients is also posted online by the bursar  and the Office of Financial Aid . Additionally, the bursar also posts a set of frequently asked questions to assist students in working their way through the system .
The university uses the latest technology solutions to reach the maximum audience of students and the public-at-large. As a result, the UT Dallas website includes prominently-placed links on the front page to the academic calendar and the online class schedule. The registrar and the bursar both make use of e-mail to notify students of important updates in the calendar or policy that has a direct impact on students. The university also includes student publications in the dissemination of important information.
